1. Scope of This Policy

This Privacy Policy explains how Pracadium collects, uses, shares, and protects information through the Pracadium website, platform, services, forms, communications, and related features.

If your organization has a separate written agreement with Pracadium, that agreement may include additional privacy, security, data processing, retention, or deletion terms. Those terms control where they conflict with this policy.

2. Information We Collect

We may collect account and contact information, such as name, email address, phone number, organization, role, program details, and communication preferences.

When organizations use the platform, Pracadium may process clinical training records submitted by authorized users. These records may include student information, practicum and internship hour logs, direct and indirect service categories, supervision records, evaluations, competencies, dispositions, placement details, site records, supervisor information, signatures, timestamps, comments, documents, and reports.

We may also collect technical information such as IP address, browser type, device information, pages visited, referring pages, approximate location derived from technical data, log data, and usage activity needed to operate, secure, troubleshoot, and improve the services.

3. Sources of Information

We collect information directly from users and organizations when they submit forms, create accounts, configure the platform, upload records, complete workflows, request support, or communicate with us.

We may also receive information from authorized institutional users, site supervisors, faculty supervisors, administrators, service providers, analytics tools, security systems, and other sources needed to provide the website and platform.

4. How We Use Information

We use information to provide and maintain Pracadium, authenticate users, manage accounts, support role-based workflows, process clinical training records, generate reports, provide customer support, communicate with users, and improve platform performance and reliability.

We also use information to secure the website and platform, detect misuse, troubleshoot issues, enforce terms, comply with legal obligations, analyze product usage, and develop new or improved features.

We may use business contact information to respond to inquiries, schedule demos, send service-related communications, and provide relevant product updates. Users may opt out of non-essential marketing communications where applicable.

5. How We Share Information

We do not sell personal information. We may share information with service providers who help us host, operate, secure, analyze, support, or communicate about Pracadium, subject to appropriate obligations for the work they perform.

Information may be visible to authorized users within your organization or clinical training workflow according to their roles and permissions. For example, a site supervisor may review and sign records for assigned students, while program administrators may access program-level reporting.

We may disclose information if required by law, legal process, institutional agreement, security investigation, rights enforcement, business transfer, or to protect Pracadium, users, organizations, or others from harm.

6. Customer Data and Program Ownership

Organizations retain ownership of the clinical training records and other customer data they submit to Pracadium. Pracadium processes customer data to provide, secure, support, and improve the services, as described in this policy and any applicable agreement.

Your organization is responsible for ensuring it has the rights, permissions, notices, and institutional approvals needed to submit information to Pracadium and make it available to authorized users.

7. Cookies, Analytics, and Similar Technologies

The website and platform may use cookies, analytics, log files, and similar technologies to remember preferences, understand traffic, measure performance, improve the user experience, and protect the services.

Browser settings may allow users to block or delete cookies. Some features may not function properly if necessary cookies or similar technologies are disabled.

8. Security

We use administrative, technical, and operational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure. These safeguards may include access controls, encrypted transport, monitoring, and operational security practices.

No method of transmission or storage is completely secure. Organizations and users are responsible for maintaining strong credentials, assigning appropriate access, removing access when no longer needed, and following their own institutional security requirements.

9. Retention

We retain information for as long as needed to provide the services, support customer accounts, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and support legitimate business purposes.

Customer data retention, export, and deletion may be governed by your organization's agreement with Pracadium, applicable law, and Pracadium's operational policies.

10. Choices and Privacy Rights

Depending on where you live and your relationship to Pracadium, you may have rights to request access, correction, deletion, portability, restriction, or objection regarding certain personal information. You may also have the right to opt out of certain communications.

For platform records controlled by an organization, Pracadium may direct requests to that organization because it determines the purposes and permissions for the data. We will support organizations in responding to appropriate requests where required or agreed.
